Subfinder System and WebConnect

 

To record an absence...

Voice Activation: The first time you call SubFinder it will ask you to register by recording your name.

 

Reporting an Absence:

  • All Absences must be reported to SubFinder, even if you do not require a substitute.
  • Absences should be entered as soon as you know you will be out. The system will accept absences up until one hour before they begin.
  • Call 759-2160 (or log on to SubFinder online)
  • Press 1 for English or 2 for Spanish
  • Your PIN is ALL 9 digits of your Social Security number, remember to end with the # button.
  • Select option 1 to report an absence
  • Report the date of the absence
    1. All day today (your working hours)
    2. All day your next work day
    3. Specific dates and times need to be entered as four digits. For example, June 5 is entered as 0605 and 7:45 is entered as 0745
  • Enter a reason for your absence (Press # after entering a reason)

          1# Sick Leave

          2# Personal Necessity

          3# Family Illness

          4# School Paid Inservice

          5# District Paid Inservice

  • Enter what portion of your absence needs a substitute- Even if you have a prearranged substitute you need to select the “yes” option (a sub is required)
    1. For the entire absence
    2. For a portion of the absence
    3. No substitute is required.
  • You have 3 options when selecting a substitute:
    1. Let SubFinder find a substitute.
    2. Assign your prearranged sub- The SubFinder does NOT call prearranged substitutes. You will need the substitutes 3-4 digit ID number, ask the sub or see your site office for the list. Online you do not need the ID number, only the name.
    3. Request a specific sub. SubFinder will try to call this sub until one hour before the job begins to offer them the job, if they are not contacted or do not accept the job the SubFinder will call other subs. Once again, the phone system requires an ID number.

• The next option is to leave recorded instructions. The ONLY people who hear the special recorded instructions are the subs. This is where you can leave your phone number, say where your lesson plans there, or included important information about the schedule. Please be sure to include any prep periods.

• ALWAYS wait until you are given a job number before you disconnect. If a job number is not generated, there will be no record of your absence. Record the job number.

Reviewing an absense: Option 2 allows you to get a number and see if the position has been accepted.

Cancelling an absense: Option 3 allows you to cancel an absense with the job number.

  • The materials they are to present are relevant and engaging.
  • You give them feedback of their work, both positive and negative.
  • You treat them as the valuable resources they are.
