Volunteer Guidelines

Volunteers play an important and valuable role in the Davis Joint Unified School District. Students, teachers, staff, families and the community benefit from the work of individuals like you who freely share their talents and resources. We also know that as a volunteer, you, too, will be rewarded. 

This information is directed to volunteers who devote a portion of their time to one of the most important systems in any community, public schools. To help you get the most out of your experience we want to make sure you are informed. 

You Are Part Of A Team
As a school volunteer you are a role model for students. Behave toward students and staff in a respectful manner that sets an example of professionalism and good citizenship. 

Confidentiality 
What you hear/observe about students or staff while volunteering in a school is confidential. Even a seemingly harmless comment repeated to another can be misunderstood and cause harm to the school team, a family or child. If a parent asks how their child is doing, please refer them to the classroom teacher. 

Reporting Child Abuse
School volunteers are not considered mandatory reporters of suspected child neglect or abuse.  If a student discloses that they are in a dangerous situation or if you have reason to suspect neglect/abuse, please report this information immediately and privately to the school principal. 

DJUSD Volunteers for In-Person Extracurricular Activities

The goal of the extracurricular program is to support the mental health and wellness of our students by getting them slowly reconnected and re-acclimated to their school through physical contact with their school sites and through relationships with the students, staff and community members on their sites. Various activities will be rolling out at different times based on volunteer interest and availability and on student interest in specific activities. 

It is important to note that even though extracurricular and outdoor education activities will be held outdoors, students will be required to wear masks and adhere to physical distancing.  All activities will adhere to strict COVID-19 health and safety standards and restrictions. You can view these protocols on our website at Healthy Behavior and Healthy Campuses. In accordance with public health guidance, extracurricular groupings will be limited to 16 total people (including adult leaders) and often will have less students for activities with limited space such as gardening.

If you are interested in Volunteering to lead, supervise and support these activities, please know that volunteers will need to be fingerprinted and complete an orientation process prior to being about to participate in this program.  Volunteers will not have to pay for this service and can sign up on the following link for a time slot that works best.  

Fingerprinting will be done at the District Office and will happen during the following schedule:                                                         

  • 8:30 am to 11:30 am (Mon, Wed, Fri)
  • Monday – March 1, 8, 15 (Holidays in Feb)
  • Wednesdays - February 17, 24, Mar. 3, 10, 17
  • Fridays – February 19, 26, March 5, 12,19

After completing the fingerprinting process, volunteers will then need to complete an orientation using Target Solutions videos on the following topics: Healthy/Safety, Stopping the Spread of COVID, Mandated Reporter, Suicide Prevention and Social Emotional Learning.  Once you have completed these videos and your fingerprints have cleared, you will be approved by Human Resources to start and you will be notified that you can begin working with students.

Profile Form:

DJUSD is committed to meeting the needs of our students during school closures.  We know that our students benefit from adults who care about their well-being and can support academic growth.  We welcome the skills and generosity of our Retired Educator Volunteers and have crafted this profile form so that we can "match" student and teacher needs to the volunteers in our Retired Educator Volunteer Network.

Orientation:

Prior to volunteering in our classrooms we invite you to our Volunteer Orientation to be held on Friday, October 2nd at 1pm.  Please use this link at the time of the event to join our meeting.

Live Scan - Fingerprinting

After completing submitting the Volunteer Profile Form and orientation the District will provide fingerprinting for volunteers free of charge.  DJUSD staff will call to set up a 15 minute appointment with you between 10 am and noon on a Monday, Wednesday, or Friday at the District Office.  You can also email Sarah Pagliai at spagliai@djusd.net or Danielle McCaslin at dmccaslin@djusd.net to set the appointment. The volunteer must bring a picture ID card (Driver license is preferable).

The volunteer must adhere to the following COVID-19  guidelines when visiting the District Office: 

  • Anyone over the age of two (2) must wear a face covering at all times when in a DJUSD facility
  • Maintain six (6) feet distance between yourself and others
  • Practice healthy hygiene practices such as frequent handwashing
  • Use hand sanitizer, which is available in offices and common spaces in DJUSD facilities
  • Do not visit a DJUSD facility if you have any of the following symptoms: fever or chills, cough, muscle or body aches, fatigue, headaches, congestion or runny nose, sore throat, nausea or vomiting, diarrhea


Once cleared, Personnel Service will let the Volunteer Coordinators know that the volunteer is ready to work.  Retired Administrators Pam Mari and Kerin Kelleher will work with you and site staff on placement and details.

Volunteer Guidelines During In-Person Instruction

Volunteers help in many different ways: classrooms, playgrounds, libraries, offices, field trips, team sports and special projects. On behalf of the teachers, staff and students, “Thank you. We could not create success without your help.”

Commitment 
Whether you are volunteering on a regular basis or for a one-time project or event, arrive a little early so there is time for communication and direction. Also, be sure to let the teacher or staff member know when your schedule changes. If you are unable to make it to school when you are expected, please call the school and leave a message. Similarly, school staff will contact you if your volunteer time is changed or cancelled for any unforeseen reason. 

Sign In Procedures

Volunteers are required to sign in at the office through the RAPTOR system and to wear the volunteer badge that is printed out . Signing in each time you volunteer allows school personnel to locate you immediately in case of emergency.

Communication
It is crucial that the lines of communication stay open and clear. If you are unsure about what is expected of you or how to use certain office equipment, please ask a staff member for direction or assistance.

What To Wear
Wearing appropriate, practical and comfortable clothing when you volunteer is one more way you can be a role model. Please check the school’s dress code and if you have a question, talk with the principal.

Who Is Doing The Teaching?
If you are volunteering in a classroom, make sure you are clear and comfortable with your responsibilities and duties. The real value for a teacher in having a volunteer is that it frees the teacher to teach. If you would enjoy other volunteer opportunities other than those that have been assigned, please speak with the teacher at an appropriate time.

Driving on Field Trips
Parent Driver Forms are now online! It's just a few easy steps:

  1. Access the Parent Driver Form and log in with your name and email address
  2. Fill out all of the highlighted areas on page 1 (include all your students in the district)
  3. Electronically sign page 2 by typing your name
  4. Scroll to the end of the form, click on 'Add Attachments' and upload a copy of your CA Driver's License and current auto insurance card.
  5. Hit Submit. 

*If your auto insurance expires before the end of the sport season or end of school year, you will need to provide updated copies directly to the School Secretary (put in identified secretary’s email) who will upload the copy for you. You will not be able to re-access your form once it has been submitted. 

Language
Just as we expect students to refrain from using inappropriate language while at school, we also expect the same from teachers, staff and volunteers. Most adults realize how easily children pick up on what we say.


Our Commitment To You
While there are certain expectations from volunteers to help things run smoothly, we realize you also have expectations from school staff.  We are committed to working with you to make sure volunteering is rewarding for everyone. 

Efficiency 
We respect your time, interest and talents and will make every effort to utilize them efficiently. Let school personnel know how you can best contribute.  Your input may lead to the development of additional volunteer opportunities.  

Discipline/Supervision
As a school volunteer, you perform under the same direction and supervision as school personnel.  Therefore, when you see students disobeying school/classroom rules or engaging in unsafe behavior, report to staff immediately.  In addition, if you witness or suspect that students are treating each other disrespectfully, CA AB 9 (Seth’s Law) requires that you take steps to intervene when safe to do so and then report to staff immediately. However, only staff may take the corrective action.  

Ed Code and Security
A person who is required to register as a sex offender pursuant to Penal Code 290 shall not serve as an instructional or non-instructional volunteer under the direct supervision of a certificated employee. (Education Code 35021) 

A Person who is convicted of a felony or misdemeanor for a crime related to violence, theft or drugs may not volunteer except through appeal by the Principal to the Assistant Superintendent of Human Resources.
